A Deferred Amount on the Sales Summary is a sale that is excluded from Net Sales.
In most cases, this figure would indicate that a gift card(s) was sold or value was added, as it is merely store-credit being extended to a customer to be redeemed later. It is not actual revenue.
This amount can further by double-checked by viewing the Menu Report for the same range of time and looking for Gift Card(s) being sold or value being added.
For gift cards, revenue for the store is realized when the gift card is later redeemed/spent in the store.
When this occurs, the Payment Type breakdown of Sales Summary will reflect the totals for Gift Card being used as a form of payment.
Other Deferred Amounts
Any menu item can technically be configured by the user to be a Deferred Amount. This is done on the Item Setup Page for the item.
Set to No - There will be settings as well for Sales Category if the item is not deferred.
Set to Yes - There will not be settings for Sales Category as deferred items do not get categorized with the rest of the revenue items.
Finding Deferred Sales
On the Product Mix page of the Menu Report, an icon will appear next to the name of deferred revenue items. You can mouse over them to reveal a description.
While it says "Gift card is not included in the total amount" - this is a general message that the item listed is deferred and therefore not contributing to Net Sales for that period of time.
Accepting payment for a balance to pay off of house accounts is Deferred (House account) in sales report
Starting with the 1.19 release there will be a new option in the house account setup page. By default it will be set to automatically zero out the balance of a house account, which was the standard feature before 1.19.
If you change the option to NO, or not automatically pay the balance when you create an invoice, you will see a few new changes to the Toast POS interface.
First, creating an invoice will no longer zero out the outstanding balance.
Second, a third button will be added to the top of a house account page next to delete and export. Clicking the Pay Balance button will zero out the remaining balance.
Third, a new gray button will be available on the POS labeled House Accounts. This buttons functions similarly to the Gift Card button in Toast. When you click it, you will be asked to look up a house account number.
After tapping pay balance the amount will be set to the current outstanding balance. This balance can be deleted and a new amount entered. An amount that is greater than the current outstanding balance can also be entered.
These balances can be paid by any kind of payment. On the Sales Summary report you will see the payments in the normal payments grid on the bottom right of the page. In the top left section there is an added section which will show House Account Deferred Revenue, (as well as a new section for Gift Card Deferred Revenue separated out).
These new deferred revenue sections are also added to the Accounting Report as well.
