Cash Drops will be available in Toast version 2.15.
Cash Drops are used to reduce the amount of cash in a drawer as a preventative measure in the event of robbery or employee theft. It is also used when a cash drawer is physically too full to take more cash transactions.
Rather than closing out a cash drawer completely and opening a new one, the Cash Drop feature allows your managers to remove cash from a drawer and still see it reflected in Cash Drawer Reporting.
Note that the Cash Drop feature has different functionality as the Cash Out feature. A Cash Out removes cash out of the entire cash management system. A Cash Drop keeps the cash within the cash management system by transferring the amount from one cash drawer to another location--usually a safe (the house balance).
To conduct a cash drop, the employee must have Manager - Cash Management (Full OR Blind) permission enabled.
On the device:
To use the Cash Drop feature, navigate to Cash Drawers in the Cash Management section from Toast's dashboard.
Choose the Active or Open Cash cash drawer from where the cash is being removed.
Note that a Cash Drop cannot be taken from a Closed Cash Drawer.
Select Cash Drop and enter the amount that is being removed.
The amount will be removed from the cash drawer's balance and will be listed as a Cash Drop.
A Cash Drop slip will print by default.
As shown below, the receipt will list the following information:
- Device (Terminal Name)
- Cash Drawer Name (From)
- To: House Balance
- Name of employee who conducted the cash drop
- Date and time
- Current cash drawer balance
- Cash drop amount
- New cash drawer balance (current balance - cash drop)
- Employee and manager signature
To undo a Cash Drop, select it from the Cash Drawer in Cash Management. On the Cash Entry Details pop-up, select Undo Entry.
The Cash Drop will then be added back into the cash drawer.
Cash Drops will be reflected in Cash Drawer Reports as a negative line item in the cash drawer it was removed from. It will appear as a positive entry into the House balance column.
At the bottom of the House column, selecting View will give a detailed view of all cash entries into the house, including the Cash Drop.
Note that a Cash Drop can also be reversed from this report by selecting the icon.
